These terms set out how we work together when you book training with us — from quotes and what’s included, to attendance, certificates, cancellations and liability.

1.About us
This website and our training services are provided by On Site First Aid Training UK (“we”, “us”, “our”). You can reach us on 0800 852 7738 or at [email protected].
These terms apply to all quotes, bookings and training we provide to you (“you”, “the customer”). By confirming a booking you accept these terms, so please read them carefully.
2.Our services
We provide private, in-house and on-site first aid and workplace-compliance training, delivered by qualified trainers at your premises anywhere in the UK. Some courses are also available as online or blended learning. The courses we offer, and their typical duration and group sizes, are described on our website and in your quote.
Course content follows the relevant awarding-body specification and current first-aid guidance. We may make reasonable changes to content to reflect updated guidance without notice.
3.Quotes and bookings
We provide a fixed-price quote on request, based on the course, the number of people and your location. Unless stated otherwise, a quote is valid for 30 days.
A booking is confirmed only when we have agreed a date with you and you have accepted the quote in writing (for example by email). At that point a contract is formed between us on these terms.
4.Prices, what’s included and payment
Unless your quote says otherwise, our fixed price includes the trainer, travel within the UK, all training equipment and manikins, and certificates. It is a single price for the group, not a per-person charge.
All prices exclude VAT, which is added where applicable. We invoice on or after the course date, and payment is due within 30 days of the invoice date unless agreed otherwise. We may ask for a deposit for larger or multi-date bookings. We reserve the right to charge interest on overdue accounts under the Late Payment of Commercial Debts (Interest) Act 1998.
5.Your responsibilities
To allow us to deliver the training safely and effectively, you agree to:
- provide a suitable, safe and reasonably quiet room at the agreed venue, with enough clear floor space for practical CPR and recovery-position work;
- provide reasonable access and, where needed, parking for the trainer and equipment;
- give us the names of the people attending in advance, and let us know of any access or learning needs;
- make sure the people booked attend on time and for the full course; and
- satisfy yourself that the course you have chosen is suitable for your needs and helps you meet your own legal obligations as an employer.
6.Group numbers
Each course has a maximum number of delegates (typically up to 12, or as stated in your quote). Our fixed price covers up to that maximum. For practical and assessment reasons we cannot add delegates beyond the maximum on the day. If fewer people attend than booked, the fixed price still applies.
7.Delegate requirements
Unless a course states otherwise, delegates should be at least 16 years old and physically able to take part in the practical elements, which can include kneeling and performing CPR on a manikin on the floor. Delegates must tell us (or you must tell us on their behalf) about any medical condition, injury or pregnancy that could affect their participation. Delegates take part in practical activities at their own discretion, and should not do anything that risks their health.
8.Course delivery, assessment and pass
Courses are delivered by qualified, experienced trainers. Many courses include continuous assessment and, where required by the awarding body, a written or practical assessment. Certification depends on a delegate attending the full course and meeting the assessment criteria.
We cannot guarantee that every delegate will pass. Delegates who arrive late, leave early or miss a significant part of a course may not be able to complete it or be certificated, and no refund is due in that case.
9.Certificates and accreditation
Where a delegate successfully completes a course, a certificate is issued through the relevant awarding body, including FAIB and Qualsafe Awards. Certificate validity is set by the awarding body and current HSE guidance (for most workplace first-aid qualifications this is three years). Replacement or reissued certificates may be subject to a small administration fee.
Holding a certificate does not transfer your legal responsibilities as an employer to us; it confirms that the named delegate completed the relevant training on the date shown.
10.Cancellation, rescheduling and refunds
If you cancel or reschedule. Because we reserve a trainer and a date for you, the following applies unless agreed otherwise:
- 14 or more days’ notice before the course: no charge, and any deposit is refunded or carried over;
- 7 to 13 days’ notice: 50% of the course fee is payable;
- less than 7 days’ notice, or non-attendance on the day: the full course fee is payable.
We will always try to accommodate a one-off reschedule with reasonable notice at no extra charge.
If we cancel or reschedule. If we have to cancel or move a course (for example because of trainer illness or events beyond our control), we will offer you the earliest suitable alternative date or a full refund of any sums paid for that course. We are not responsible for other costs you may incur as a result.
11.Health, safety and the venue
We carry out our training in line with health and safety law and risk-assess our delivery. You remain responsible for the health and safety of your premises and the people at them. If, on arrival or during a course, the trainer reasonably considers the venue or conditions to be unsafe, they may delay, relocate or stop the course; we will work with you to rearrange where possible.
12.Our liability to you
We will provide our services with reasonable care and skill. To the fullest extent permitted by law:
- we are not liable for any indirect or consequential loss, loss of profit, loss of business or business interruption;
- our total liability arising out of or in connection with any course is limited to the price paid for that course; and
- we hold public liability and professional indemnity insurance.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded.
13.Intellectual property
All course materials, handouts, presentations and content we provide remain the property of us or the relevant awarding body. They are provided for the delegate’s own learning and may not be copied, shared or reused for commercial purposes without our written permission.
14.Complaints
We want you to be happy with our training. If something is not right, please contact us on 0800 852 7738 or at [email protected] and we will aim to acknowledge your complaint within 5 working days and resolve it promptly. Where a course is delivered under an awarding body, you may also raise certain matters with that body.
15.Data protection
We process personal data in line with our Privacy Policy, which explains what we collect, how we use it and your rights.
16.Events beyond our control
We are not liable for failure or delay in performing our obligations where it is caused by events beyond our reasonable control, including severe weather, transport disruption, illness, fire, power failure, or government restrictions. In such cases we will contact you to rearrange.
17.Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the one published on this website at the time you confirm it.
18.Governing law
These terms and any dispute arising from them are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
