1.Who we are
On Site First Aid Training UK is the data controller for the personal data described in this policy. If you have any questions about how we handle your data, contact us at [email protected] or on 0800 852 7738.
2.The information we collect
Depending on how you interact with us, we may collect:
- Enquiry information — your name, company, email address, phone number, location and the details of your enquiry, when you use our contact form, email us or call us;
- Booking information — the contact and billing details we need to arrange and invoice your training, and details of the course and venue;
- Delegate information — the names of the people attending a course (and, where an awarding body requires it for certification, limited additional details), which we need to register and issue certificates;
- Website information — basic technical data such as your IP address, browser type and the pages you view, collected through your browser and cookies.
3.How we collect it
We collect most information directly from you when you contact us, request a quote or book training. Some technical information is collected automatically when you use our website, as described in the cookies section below.
4.How we use it, and our lawful basis
We use your personal data to:
- respond to your enquiry and provide a quote — on the basis of our legitimate interests in answering enquiries, and taking steps at your request before entering a contract;
- arrange and deliver your training and issue certificates — to perform our contract with you;
- register certifications with the relevant awarding body — to perform our contract and meet related obligations;
- send you invoices and service messages about your booking — to perform our contract; and
- where you have given your consent, send you occasional information about our services — on the basis of your consent, which you can withdraw at any time.
5.Who we share it with
We share personal data only where necessary:
- with awarding bodies (such as FAIB and Qualsafe Awards) to register training and issue certificates;
- with the trainer delivering your course;
- with service providers who support our business (for example email, website hosting and accounting), under appropriate agreements; and
- where we are required to by law.
We do not sell your personal data, and we do not share it for third-party marketing.
6.Cookies and third-party services
Our website uses a small number of cookies and similar technologies to make the site work and to understand how it is used. We also rely on a few third-party services:
- Google Fonts — used to display our typefaces;
- Google Maps — embedded on our location pages so you can see the areas we cover. When a map loads, Google may set cookies and process limited data under its own privacy policy.
You can control or block cookies through your browser settings, though some parts of the site may not work as intended if you do.
7.International transfers
Some of our service providers (for example Google) may process data outside the UK. Where they do, we rely on appropriate safeguards — such as a UK adequacy decision or standard contractual clauses — to protect your information.
8.How long we keep it
We keep enquiry information for 24 months unless you become a customer. We keep booking and certification records, and the financial records associated with them, for as long as we need them to support certification and to meet our legal and accounting obligations — typically six years. We then securely delete or anonymise the data.
9.Your rights
Under UK data protection law you have the right to: access the personal data we hold about you; ask us to correct it; ask us to delete it; restrict or object to how we use it; request a copy in a portable format; and, where we rely on consent, withdraw that consent.
To exercise any of these rights, contact us at [email protected]. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113, although we’d appreciate the chance to put things right first.
10.How we protect your data
We take appropriate technical and organisational measures to keep your personal data secure and to prevent unauthorised access, loss or misuse.
11.Children’s data
Our training is aimed at workplaces. Where a course includes delegates under 18 (for example training booked by a school or employer), we only process the minimum information needed to deliver the course and issue certificates.
12.Other websites
Our website may link to other sites. This policy applies only to our website, and we are not responsible for the privacy practices of sites we link to.
13.Changes to this policy
We may update this policy from time to time. The current version is the one published here, with the date shown at the top.
